Bulk Fuel Procurement Checklist for Zambia & DRC
A clear buying brief gives fuel sellers and transport partners a consistent requirement to assess. Use this checklist before requesting bulk diesel / gasoil or unleaded petrol / gasoline for an OMC, industrial plant, mine or project site.
Start with the product and receiving operation
State the product, required grade or specification, requested quantity and quantity unit. Identify the receiving company and site rather than using only a city name. If your equipment, licence or internal purchasing standard requires a particular specification, include it in the inquiry so the proposed supplier can confirm suitability. Do not treat a generic product name as a complete quality specification.
Describe consumption, storage and timing
Explain whether the requirement is a one-off purchase, recurring replenishment or a top-up. Share expected consumption, the required delivery date, the receiving window and usable available storage at the time of arrival. Keep the requested volume consistent with the receiving capacity. If the date is flexible, state the acceptable window so source and transport options can be assessed together.
Separate supply from transport responsibilities
Identify whether you need fuel procurement and delivery or transport facilitation from a supplier you have already selected. State any preferred loading point, existing supplier arrangement or source restrictions. Confirm which parties will contract for the product, execute transport, handle border requirements where applicable and receive the delivery. These responsibilities belong in the written commercial scope.
Prepare the site for a suitable vehicle
Provide the site address or coordinates directly in your inquiry, along with access restrictions, vehicle limits and receiving arrangements. Share practical issues such as approach roads, gate controls, operating hours and the person responsible for receipt. Carrier suitability and route constraints need to be reviewed against the actual cargo and destination; an indicative map alone is not a dispatch approval.
Agree quality and delivery evidence
Ask which supplier product documents are available, what checks or sampling are included in the proposed scope, how loading quantities will be recorded and what evidence will be provided at handover. Agree who checks the receiving quantity or condition, how discrepancies are reported and how proof of delivery is reconciled. The exact records depend on the shipment and agreed responsibilities.
Plan an alternative before stock runs low
A backup plan should identify the trigger for action, alternative source options, available receiving capacity and the next communication step. A-flow’s regional seller, depot and carrier relationships support assessment of alternatives. They do not establish guaranteed stock, fixed lead times or automatic vehicle allocation. Source, product, price and capacity must be confirmed for the specific request.
Send one complete inquiry
Use the fuel inquiry form to record your company, contact, product line items, delivery site, timing and commercial notes. The send action emails the requirement for review; it does not reserve fuel or confirm a booking. If you prefer email, send the same information to orders@aflowsolutions.com. Avoid sending banking credentials, identity documents or unrelated sensitive records through the general inquiry form.
Which fuels can I request?
The core catalogue covers diesel / gasoil and unleaded petrol / gasoline. Provide your required grade and quantity; product specifications and availability are confirmed for each quotation.
Does A-flow own the connected 300-tanker fleet?
The 300 tankers represent network capacity connected through relationships and MOUs with carrier partners. Actual vehicle availability, suitability and operating permissions are assessed for each requirement.
Is there a fixed minimum order or guaranteed delivery time?
Minimum volumes, pricing and delivery timing depend on the product, loading source, carrier and receiving site. They are confirmed in the written offer rather than assumed from the website.
Can you assess backup supply and depot options?
Yes. Share consumption, minimum stock levels, usable storage and receiving windows. Regional seller and depot relationships support assessment of primary and alternative sources; stock and access must be confirmed.
Does sending an inquiry create a booking?
No. Submission requests a commercial response. Product, price, vehicle capacity, route, responsibilities and delivery timing require separate written confirmation.
